Guide

Best guest check-in and guest list apps. The door is the first impression.

For a small recurring event, the best guest check-in app is usually the one built into the platform that already holds your RSVPs or tickets, so you rarely need a separate guest list app. Nobody remembers a smooth check-in; everybody remembers a queue. This page covers the free options for about 80 guests and two door staff, what offline scanning can and cannot promise, private self check-in on an iPad, and how many lanes you need.

Choose an event check-in app against your actual ticket source, guest count, staff permissions and venue connectivity. Compare SocialLoop, Eventbrite Organizer, Luma and specialist tools using the same arrival and exception tests. Check the plan limits before treating a scanner as free.

What is the best check-in app?

The best check-in app is usually the one built into the platform that already holds your guest list, such as Eventbrite Organizer, Luma, Ticket Tailor, Humanitix or SocialLoop, because cancelled tickets are already marked in the same records. Choose a standalone app only for a self check-in kiosk, seating or badge printing. Whichever you pick, test a duplicate scan and a cancelled ticket on two devices before the doors open.

Which guest check-in app should a small recurring event use?

Use the check-in app of the platform where guests already RSVP or buy tickets. The guest list is already there, refunds and cancellations live in the same records, and nothing has to be exported before each event. A separate tool earns its place when you need something your platform lacks, such as a private self check-in kiosk, seating or badge printing. If you are deciding whether to keep selling on Eventbrite at all, the door follows that choice; see Eventbrite alternatives for recurring hosts.

SocialLoop

Best for: Check-in that belongs to the same system as your tickets

Ticketing, RSVPs, guest lists and a QR scanner in the same host account, with a check-in-only staff role. The web scanner checks each scan against the live ticket record, so it needs a connection; the iOS app’s scanner has an Offline Mode that saves check-ins on the phone and syncs them when the signal returns. See where it fits below.

Eventbrite Organizer

Best for: Events already ticketed on Eventbrite

Eventbrite’s companion app scans tickets and tracks attendance for events sold through Eventbrite. If your tickets are there, it is the obvious door tool — connected to the registrations you already hold. Test staff access and the venue network before the event.

Luma

Best for: Tech meetups run on Luma

Check-in is built into Luma’s host tools on web, iOS and Android, and fits the free-RSVP meetup shape. A check-in-only staff role needs Luma Plus.

zkipster

Best for: High-stakes guest-list events with budget

The specialist: seated dinners, galas, and press events where the guest list is the product. Compare its current plan against your guest-management requirements and run the same door trial. A specialist earns its cost when the demonstrated workflow matters to your event.

Which free check-in apps work for 80 guests and two door staff?

If your guests already register through Ticket Tailor, Humanitix, Eventbrite or Luma, start with that platform’s own check-in app: none of their pricing pages sets a free-tier cap below 80 guests, and the guest list is already in it. If you only have a spreadsheet, Hi.Events’ free browser tool works without an account, but each device keeps its own list, so two door staff will not see each other’s check-ins.

Free check-in is not the same as free ticket sales: paid tickets still carry platform and card-processing fees. Run your trial on the plan you will actually use, after any premium trial ends. The table records what each company’s own pages said on October 6, 2026; it is not our test of their apps.

Which free check-in apps work for 80 guests and two door staff?
OptionWhat the company documentsCheck before choosing
Ticket TailorNo fees on up to 5,000 free tickets a year; a free check-in app; several devices at once; separate staff profiles you can revoke; offline scanning if the door list was downloaded first; syncs every 7 seconds while online. What happens when two offline devices scan the same ticket is not documented. Its refund instructions leave a ticket valid unless you also choose to void it.
HumanitixFree events cost nothing; all plans include the scanning app; several people can check in to one event at once with check-ins synced across devices. Its check-in guide offers an exported PDF or CSV list as the fallback, not a documented offline scanning mode. Test without internet.
Eventbrite OrganizerNo fees for events with free tickets; scanning shows an error when a code is already checked in or belongs to another event; staff need a role that allows check-in.Offline behavior and how many staff devices are supported are not stated in its check-in article. Test both.
LumaFree plan: unlimited events and guests per event. Scanning on web, iOS and Android. The check-in manager role needs Luma Plus ($59 a month billed annually). On the free plan your second door person would need full access rather than a check-in-only role. Check-in staff can see guest email, phone, amount paid and registration answers.
Zoho BackstageFree plan: 100 attendees per event, unlimited events, check-in and badging. Sign-up starts a 15-day trial.Custom team roles are on higher tiers. Test the free plan after the trial ends.
Hi.Events free browser toolNo sign-up and no attendee limit; works offline once the list is imported; exports your CSV with checked_in and checked_in_at columns. No shared list between devices. With two staff, split the list (for example A–L and M–Z) or use one device.
SocialLoopTicketing, RSVPs, guest lists and a QR scanner in one host account, with a check-in-only staff role. Details in the section on where SocialLoop fits below. The scanner needs a connection, and the Free plan limits events per month and staff per event. Check the plan against a weekly schedule.
  1. Guest limit: per event, per month or per year, and whether walk-ins and plus-ones count.
  2. Staff: two separate logins on the plan you will pay for (or not pay for), and what a door-only account can see and export.
  3. Offline: whether the scanner works with no connection, what it must download first, and what happens when two offline devices meet the same ticket.
  4. Export: a CSV with who checked in and when, available on your plan, so attendance survives if you switch tools.

If two door devices lose internet, what can check-in software guarantee?

Only what each device already knows. A disconnected device can refuse a ticket it has already scanned itself, but it cannot know that the other disconnected device admitted the same ticket a minute ago, or that a ticket was refunded or cancelled after it last synced. Software that says it detects duplicates after reconnecting is reporting the problem, not preventing it.

Vendors document this plainly. zkipster says its offline devices do not communicate with each other or with the server, and asks you to reconnect them one at a time so their syncs do not compete. Hi.Events’ free tool never shares check-ins between devices. Ticket Tailor scans offline from a downloaded door list but needs a connection to sync. A refund is also a separate decision from admission: Ticket Tailor leaves a refunded ticket valid unless you also void it.

If entry must be exact during an outage, run one admitting device and have the second person handle questions, or split the list between devices. Ask any vendor to show you the following in a test event with made-up guests, on the plan you will buy.

  1. Scan one ticket twice on one device, then on two online devices a second apart. Only one should say the guest is admitted.
  2. Download the list on both devices, disconnect both, and scan the same ticket on each. Reconnect as the vendor instructs and look at the full scan history, not only the final count.
  3. Refund a test ticket without voiding it, then with voiding. Cancel a ticket while a device is offline and scan it there.
  4. Show next week’s ticket at this week’s event, a ticket bought after the devices went offline, and two guests with the same name. Write down what staff should do in each case.
  5. Export afterwards and check that every scan, device and staff login is in the file.

How do I run name-only self check-in on an iPad without showing the guest list?

Never let the iPad show a list. Ask each guest to type something that matches only them, such as a short personal code or their full name as an exact match, show at most a first name and last initial to confirm, and send anyone with no match or a shared name to a staff member instead of letting them pick from results.

A name alone cannot tell two Alex Johnsons apart, so plan a second detail (the email they registered with, or a code) or a person at the desk for those cases. Lock the iPad to the check-in app with Guided Access, which Apple documents as restricting the device to a single app, disabling chosen parts of the screen and requiring a passcode or Face ID to leave.

Some tools are built for this. OneTap documents a short code per person so the roster never appears on screen. Cvent describes a Secure Search setting that requires an exact match and does not auto-fill names; its kiosk mode needs a Premium license and does not run on phones. SocialLoop does not offer a self-service kiosk; its check-in is run by staff.

  1. Type three letters of a real guest’s name. Nothing should appear until there is an exact match.
  2. Create two test guests with the same name. The kiosk should send them to staff, not choose one.
  3. Finish a check-in and walk away. The next guest should not see the previous name, and the back button should not reopen it.
  4. Try to leave the app or open settings. Guided Access should stop both.

How many check-in lanes and staff do I need?

Plan for your busiest few minutes, not your guest count. Note when each guest joins the line and how long their check-in really takes, including the slow ones (no ticket, wrong email, paying at the door), then test how many lanes keep the longest wait acceptable.

At one or two events, have someone write down three times per guest: joining the line, reaching the table and leaving it. A scan timestamp alone shows only the last of these, so it hides the line when it is longest.

Illustrative example with made-up times: twelve guests arrive at seconds 0, 0, 5, 5, 10, 10, 15, 15, 20, 20, 25, 25. Ten check-ins take 8 seconds; one takes 60 and one takes 90 because of a problem. Each free lane takes the next guest in line.

How many check-in lanes and staff do I need?
Identical staffed lanesLongest waitAverage wait
1197 seconds86.67 seconds
259 seconds21.17 seconds
320 seconds5.17 seconds
  1. In this example, two slow check-ins out of twelve roughly triple the longest single-lane wait: 197 seconds, against 63 if every check-in took 8 seconds. That is why a separate person for problems can matter as much as another scanner.
  2. With two door staff, compare two scanning lanes with one scanning lane plus one person for problems, using your own timings.
  3. Replace these made-up inputs with your own and choose against the wait you will accept; the example is not a three-lane recommendation.

Where does SocialLoop fit?

SocialLoop fits when you want RSVPs, ticketing, the guest list and the door in one account. Its scanner checks each ticket against the live record at the moment of the scan. If a second device scans a ticket that was already admitted, staff see “Already checked in” with the time of the first scan; cancelled tickets and tickets for another event are refused.

You can invite door staff as Check-in Attendants, a role meant for check-in only: it cannot edit the guest list, issue refunds or see analytics. Afterwards you can export the guest list as a CSV that shows who checked in.

Three limits to weigh. The web scanner needs a connection. The iOS app’s Offline Mode keeps scanning when the signal drops if you open the scanner while still connected, so it can load the guest list; check-ins made offline are saved on the phone and sync when it reconnects, but, like any offline device, it cannot see what another offline device admitted. There is no self-service kiosk. And the Free plan covers 1 event per month and 1 invited staff member per event besides you, so a weekly event or two invited door staff needs a paid plan; see pricing. Run the duplicate and staff tests above before you rely on it.

Common questions

What is the best check-in app?

The best check-in app is usually the one built into the platform that already holds your guest list, such as Eventbrite Organizer, Luma, Ticket Tailor, Humanitix or SocialLoop, because cancelled tickets are already marked in the same records. Choose a standalone app only for a self check-in kiosk, seating or badge printing. Whichever you pick, test a duplicate scan and a cancelled ticket on two devices before the doors open.

What is the best guest check-in app for a small recurring event?

Usually the check-in app of the platform that already holds your RSVPs or tickets, because the guest list is already there and nothing has to be exported between systems. Choose a separate tool only when you need something your platform lacks, such as a private self check-in kiosk or seating.

What is the best free event check-in app for 80 guests and two door staff?

If you register guests on Ticket Tailor, Humanitix, Eventbrite or Luma, use its check-in app; none of their pricing pages sets a free-tier cap below 80 guests. Ticket Tailor documents separate staff profiles and offline scanning from a downloaded list. Luma’s check-in-only staff role needs Luma Plus. Hi.Events’ free browser tool needs no account but does not share check-ins between devices. Free check-in does not mean free paid-ticket processing.

Can two check-in devices prevent duplicate entry without internet?

No. A disconnected device can only refuse a ticket it has already scanned itself. It cannot know that another offline device just admitted the same ticket, or that a ticket was refunded after it last synced. Duplicates are found when the devices reconnect. If entry must be exact during an outage, use one admitting device.

How do I set up private self check-in on an iPad?

Never show a list. Ask guests for a personal code or an exact full-name match, confirm with at most a first name and last initial, send same-name and no-match cases to staff, and lock the iPad to the check-in app with Guided Access.

How many check-in staff do I need?

Plan for your busiest few minutes, not your total guest count. Time how long each guest waits and how long check-in really takes, including problems, and compare one extra scanner with one person dedicated to problems.

When is a dedicated check-in tool like zkipster worth it?

When the guest list IS the event: seated galas, press nights, sponsor dinners — occasions where staff must recognize guests, manage seats, and report attendance to stakeholders. For typical ticketed events, the check-in bundled with your ticketing platform does the job without another subscription or a CSV export between systems.
